Maintenance management for vacation rentals
A guest reports a stuck blind. You ask someone to look at it, somebody needs the address, and hours later you still don’t know whether anyone attended. Managing maintenance means following the issue through to a verified outcome while keeping guests and the team informed.
Rentevo keeps the property, request and work to be done together. Create a job, assign your team and follow its status, notes, photos and history. The person attending has the context, while the manager can see what still needs attention.
A useful report explains what needs attention
“It isn’t working” is a starting point. To arrange a visit, you need the property, the item, the observed problem and its effect on the stay. A photo can identify the remote or window involved. Ask for the details needed to decide the next step.
Record a manual job or follow a request linked to a guest conversation. In Rentevo, the job retains its property and, when available, the conversation link, so you can revisit the report without rebuilding the context from separate messages.
Separate the reported problem from the visit you need to arrange
A bulb to replace between stays and a door that prevents access need different responses. The manager decides priority, chooses who will attend and agrees access with the guest when the home is occupied. Confirm a visit time after those checks.
Set a job’s priority and deadline in Rentevo and assign members of the responsible team. Status and history show the progression from request to work in progress and completion. If you coordinate with a contractor outside the system, record the appointment and outcome in the job to give your team a shared reference.
Keep issues found during cleaning visible
Cleaners often spot an issue before a guest does. In Rentevo, a cleaner can report it from the job and add photos. The manager can acknowledge the report, record a decision and create linked work when a separate visit is needed.
A completed clean may still have an open issue report. Finishing one job shouldn’t hide a repair that still needs arranging: review remaining issues before treating the property as ready. The link preserves the history between the original finding and the follow-up job.
Give guests a concrete next step
While arranging the work, communicate what you know: the report has been received, what details are needed and when you’ll update the guest. Once the appointment is confirmed, give the time window and access arrangements. Confirm the repair outcome after it has been checked.
Rentevo’s assistant uses property information for routine questions and involves your team when a request needs action. Try PMS replies in Test Mode before enabling automatic sending. The manager remains responsible for repair priority, appointments and decisions affecting the stay.
Try the conversation, then explore your team’s workflow
This is the homepage guest demo with information for a sample property. Try a question about its amenities. In a guided demo, we can walk through recording an issue, assigning work and following the outcome.
Start with a repair you currently coordinate by phone
Bring a real case to the demo, including who receives it and who needs to attend. We’ll explore how to make responsibility and updates visible while keeping your choice of contractors. We’ll discuss an operations proposal based on your team; the pricing page describes the public guest assistant offer.
Questions before you start
Can I record a repair without a guest message?
Yes. Create a manual job for the property, describe the work needed and assign your team. This also covers issues found before arrival.
What if the issue needs a return visit?
Create a follow-up job linked to the completed work. The original keeps its outcome and the new job shows what remains to be done.
