In a demonstration example, “Do not disturb others” becomes “Keep voices low in the courtyard from 10 pm to 8 am; the neighbours’ windows face this space.” The reason explains the request, while the place and hours make it specific. Use the actual hours for your property.
“Smoking outside only” can become “You may smoke on the terrace using the ashtray; smoking indoors is not allowed”, if that matches the property’s policy. For visitors, explain what guests need to ask and who to contact, instead of leaving a vague “By arrangement”.
When guests ask for an exception, separate the usual answer from the manager’s decision. A request to bring a pet or additional visitors should not be confirmed simply because it is politely worded.
